The Town of Gypsum Development Team Embraces e-PlanREVIEW® - e-PlanSoft

Irvine, CA, June 1, 2020: The Development Team of the Town of Gypsum, Colorado, went live with e-PlanREVIEW® as of May 1, 2020, and they are truly embracing the software’s capabilities that facilitate electronically receiving plan sets, conducting markups, maintaining code standards, and working remotely at a time when working from home has been crucial to promoting public safety. The timing could not have been better.

The Town first started the initial process of attaining e-PlanREVIEW® (EPR) in the Spring of 2020. As the effects of the COVID-19 pandemic grew, so did the need for a quicker turnaround time with implementation, and the e-PlanSoft™ Customer Service Team stepped in.

“The Town of Gypsum started as a normal implementation and we expedited the go-live date as a direct reaction to the pandemic starting and the need for the Town to get fully trained faster. We worked with their schedules and provided additional support to any staff as they needed it,” commented Cathy Rogers, Implementation Services Manager.

“Implementing this kind of software has been very timely with what is going on in the world right now, and it’s been very helpful for our customers to still be able to submit everything electronically despite our office being physically closed. We are really grateful for this partnership with e-PlanSoft™ and working with their team has been a complete joy,” shared Lana Bryce, Community Development Director for the Town of Gypsum.

In the past, reviewers on the team found that it would take weeks instead of a few days to complete one review because a single plan would be passed along to the different departments one by one. The former drafts would also need to be deleted from the server. Now with EPR, there is no limit to the number of staff users that can access the review tools and plan sets can be worked on at the same time which has positively impacted the overall workflow for this process. All staff has access to plan sets that are uploaded digitally through a secure login, and they can be accessed on any day of the year 24/7. This is possible because everything is hosted in the cloud, so there is no managing of a server which helps keep maintenance costs low and makes things easier on the development team.

While the Town staff has only had EPR for a little less than a month, it has already helped in terms of efficiency and code compliance on the projects received. The development staff has reported that they receive as many as four to five permits at one time depending on the project. Instead of reviews like this taking a couple of weeks to complete, they can be fully completed in a couple of days.

EPR has had a positive impact on the applicant side as well thanks to its integration with goPost™ Public Portal. Applicants can use the portal to submit permit applications online at any time of day. The review team can see each plan before it is submitted to the EPR workflow. If something is missing from the application, the applicant can be notified with a conveniently pre-drafted email. This saves time for both the applicant and the Town of Gypsum’s staff because there is no longer a need to travel back and forth to the development office.

This facilitation of an electronic plan review process for both the applicants and the development staff has been crucial to falling in line with the stay at home ordinances that have taken place across the United States. While being able to access EPR through the cloud has always been a defining benefit in what makes EPR successful with clients, agencies are now seeing the importance of SaaS technology come to action in real-time like the Town of Gypsum has.

Candidly Shane Gremmer, Building Official for the Town of Gypsum shared, “it has been great using EPR, especially with the timing of COVID-19. I can complete all plan reviews without having to step foot in the office. I wake up in the morning wanting to conduct plan reviews because it is easy to use, and I have access to all the submittal tools that I need right within the system. It has also been awesome that our clients can complete permit applications online. This has improved workflow and now the ball is in the applicants’ court when it comes to the many architecture, site, and landscaping projects that we used to manage with paper plan sets. I wish we had access to this software in the past because it has improved my efficiency and work-life balance quite a bit.”
